FRONT OFFICE ADMINISTRATOR

The position of the Front Office Administrator is responsible for managing the reception area. The Front Office Administrator will be the “face” of the Irida Women’s Center, ensuring beneficiaries receive a heart-warming welcome and support and manage all front desk activities, including calls, questions about services, and arrangement of appointments.

Due to the nature of the work, only female candidates are eligible.

Starting date: Immediately

Hours of work: 8 hours per day, 5 days per week

Salary: 750€ (net salary)

Office Hours: 09:30-17:30

Reports to: Communications Coordinator

JOB DUTIES:

  • Promptly receive and respond to all customer requests using a variety of communication channels including landline phone, e-mail, online chat relating to services, and deal with routine inquiries.
  • Maintain accurate records of data and documents, presenting and reporting on these as required.
  • Retain registration records.
  • Help create data for monthly and yearly reports, according to the Communications Coordinator.
  • Ensure the following of the Covid-19 protocols for all visitors and members.
  • Assist to distribute surveys at the appropriate time, translate and analyze results, create summaries of data, and send to relevant team members as requested by the Communications Coordinator.
  • Answer the phone and the landline.
  • Undertake any such other tasks as may from time to time be necessary as directed by the Communications Coordinator.

REQUIRED QUALIFICATIONS:

  • Minimum 2 years of proven experience as an office administrator, office assistant, or relevant role.
  • BSc/BA in office administration or relevant field.
  • Excellent oral and written Greek and English communication skills. • Solid knowledge of MS Office, particularly Excel and Word
  • Good interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Excellent problem-solving skills.
  • A keen eye for detail.
  • Cultural sensitivity, trustworthiness, and professionalism.
  • Tolerant, versatile, adaptable, and open-minded.
  • Understand confidentiality and GDPR concerning sensitive information.

DESIRED ATTRIBUTES:

  • Experience as an Administrator or in a related role within an NGO.
  • MSc/MA in office administration or relevant field.
  • Knowledge of other languages i.e., French, Arabic, Farsi, Sorani, Turkish.
